Policies and Information

Please call for your appointment as far in advance as possible. This will give us the opportunity to find an appointment time that is convenient for you.

A medical emergency or delivery may cause our providers to run behind schedule. We understand your time is important and appreciate your understanding if your appointment is unavoidably delayed. Our staff will do their best to keep you informed of schedule changes.  If you are unable to wait, please ask the staff to reschedule your appointment.

Cell Phone Policy

As a courtesy, we ask that all cell phone use be discontinued while our staff are present in the room during your visit.

Resident Physicians and Medical Students

At Gila Valley Clinic we feel strongly about training future physicians and demonstrating the many benefits of practicing rural full spectrum family medicine.  Patients will often encounter students during their visits. Our practice model provides a rare experience for these future physicians.  Our Family Medicine physicians train Resident Physicians through a collaboration with the University of Arizona Graduate Medical Education Consortium.  The physicians are also Assistant Professors at the University of Arizona, College of Medicine and are involved in training Medical Students.  Whenever our schedule allows, we also welcome Nurse Practitioner and Physician Assistant students to complete family practice or pediatric rotations.

For patients insured through an Insurance Policy in which we are contracted, applicable co-payments and deductibles are due at the time of the visit, and all covered services are billed to the Insurance Provider. Sometimes an Insurance Provider will not pay for some elective services. Your Insurance is a contract between you and your insurance company. Your bill for your medical care at Gila Valley Clinic is an independent agreement between you and Gila Valley Clinic.

We will bill your insurance carrier and do everything we can to successfully get your insurance to pay for the medical care you received. It is CRITICAL that we have the correct insurance information in order to bill your claim correctly and timely.

If you do not provide us with the correct insurance information and your claim is denied for untimely filing, you will be responsible for the balance. We will not become involved in disputes between you and your insurance company regarding deductibles, co-payments, covered charges, secondary insurance, "usual and customary" charges, delays in payment, etc., other than to supply factual information as necessary.

Insurance co-pays, deductibles, and payment for non-covered procedures are expected in full at the time of service.

We collect these payments at the time of service. If you are unable to pay, please notify our staff in advance.

We request full payment at the time of service if we are unable to verify insurance benefits or if no insurance coverage exists.  For individuals with no insurance and limited income, we offer a Sliding Scale Fee Schedule. We accept VISA, MasterCard, and Debit Cards.

We request that you notify us as early as possible if you are unable to keep your appointment. We prefer 24 hours in advance cancellation but will accept a cancellation up to two hours prior to your scheduled appointment time.

If you do not present at the time of your scheduled appointment a “No Show” notation will be recorded in your patient chart for that date.

We may charge a copayment for the second and third “No Show” notation.  Three “No Show” events in your chart may result in our office asking you to find a new provider.
